Position Summary

Andrew Sitework is a premier public infrastructure contractor specializing in water, sewer, roadway, and sitework projects exclusively for municipalities, counties, and public agencies across Florida. We are currently seeking an office assistant to join our team in Fort Myers, Florida.

Requirements

High school diploma or equivalent required
Previous office or administrative experience preferred
Construction, accounting, estimating, or project management experience is a plus
Proficiency with Microsoft Excel, Word, Outlook, and general computer applications
QuickBooks or construction software experience is a plus
Strong organizational and time-management skills
Excellent attention to detail
Comfortable working with numbers, spreadsheets, and detailed documentation
Ability to communicate professionally with employees, vendors, subcontractors, and customers
Ability to handle multiple assignments and changing priorities
Dependable, punctual, and willing to learn
Ability to handle confidential company and employee information appropriately

What We’re Looking For
We are looking for someone who wants to become an important part of our office team rather than simply perform basic clerical duties. This position will have exposure to the entire construction process—from estimating and bidding a project, to supporting the project while it is under construction, to assisting accounting with job costs and billing.

The right candidate will be organized, proactive, willing to ask questions, and interested in learning how an underground utility construction company operates. There is an opportunity for the position to grow as the employee gains experience and becomes familiar with our projects and processes.

Key Responsibilities

The ideal candidate is detail-oriented, comfortable working with numbers and documentation, and able to manage multiple priorities. Construction experience is helpful but not required. We are looking for someone who is willing to learn the business and grow into additional responsibilities over time.
Key Responsibilities

Estimating Support
Assist estimators with preparing and organizing bid documents
Download, save, print, and organize project plans, specifications, and bid information
Maintain electronic bid folders and estimating files
Assist with subcontractor and vendor quote requests
Follow up with vendors and subcontractors for pricing
Organize quotes and supporting documentation for upcoming bids
Maintain vendor and subcontractor contact information
Assist with bid calendars, deadlines, and submission requirements
Help prepare bid packages and other estimating documentation

Project Management Support
Provide administrative support to project managers and project coordinators
Set up and maintain project folders and documentation
Assist with submittals, purchase orders, change orders, and project correspondence
Collect and organize field paperwork, delivery tickets, receipts, and daily documentation
Assist with tracking project quantities and supporting documentation
Maintain subcontractor and vendor documentation
Help coordinate communication between project managers, field personnel, vendors, and customers
Assist with preparing documents needed for project billing and closeout
Track outstanding project documents and follow up as needed

Accounting Support
Assist with accounts payable and invoice processing
Match invoices with purchase orders, receipts, tickets, and other supporting documentation
Assist with data entry and job cost coding
Maintain organized vendor and accounting records
Collect W-9s, certificates of insurance, and other required vendor documentation
Assist with credit card receipts and expense documentation
Help gather information needed for monthly project billing
Scan, file, and maintain accounting documentation
Assist the accounting team with additional administrative tasks as needed

General Office Responsibilities
In addition to supporting these departments, this position will assist with answering phones, emails, filing, scanning, maintaining office records, ordering supplies, scheduling meetings, and other general administrative responsibilities. Because this position works with several departments, priorities may change throughout the day depending on bid deadlines, active projects, billing schedules, and other company needs.
